TPD Handbook

Experience Log

The Clinical Experience Log is completed by the FDs each month and is a record of all the items of clinical work that they have undertaken. There is a facility in the E-Portfolio to download a spreadsheet which contains a record of the Clinical Experience log for all the FDs in a particular DFT Scheme. This can be accessed if you are logged on as TPD, Dean, or Administrator.

To download the clinical experience spreadsheet:

  • From the Dashboard, go to the ‘Clinical Experience Report’
  • Select any one of the FDs on the Scheme
  • At the top right of the screen is a button headed ‘Download all FD’s’ - Click on this and the save the .csv  file that downloads. Now open this as a spreadsheet containing the Clinical Experience Report

Clinical Experience Analysis Tool (CEAT)

To assist in the process of analysing the information contained in the Clinical Experience Reports, two analysis tools are available. One which presents this information for all the members of a Scheme as a group, and a version which presents the information for individual FDs against the Scheme average. These are available in different ‘sizes’, to cater with schemes of up to: 12, 15, 20, 25 and 30. Each version of the CEATs will give correct results whatever the Scheme size, but using a version matched to the size of the Scheme will allow more effective presentation of the results.

The two CEATs in all sizes can be downloaded and saved in a folder from the buttons at the bottom of this page.

Instructions for use of CEATs

  • Open in Microsoft Excel the CEAT that you wish to use, make sure that it is large enough for your Scheme. The file will open at the ‘Data Entry Sheet’ identified by the tab at the bottom left corner of the screen.

CEAT-pic-1

  • Open the Clinical Experience Report that you have downloaded from the e-portfolio. Move to the top left corner of the spreadsheet and making sure that Column A and Row 1 are visible, click on the square at the corner of the grid. All of the cells of the spreadsheet have now been selected and the spreadsheet should turn blue. Copy the selected cells by using the ‘Copy’command or by using the keyboard shortcuts: Ctrl + C  (PC) or Cmd + C (Mac)

CEAT2

  • Return to the CEAT that you opened earlier, and move to the top left hand corner of the spreadsheet. Once again, making sure that Column A and Row 1 are visible, click on the square at the corner of the grid. This will select all the empty cells in the spreadsheet and it will turn blue.
Now Paste the data from the downloaded spreadsheet using the ‘Paste’ command or by using the keyboard shortcuts: Ctrl + V (PC) or Cmd + V (Mac). The spreadsheet should fill with the figures from your Scheme spreadsheet.

CEAT3

  • It is now possible to select any of the tabs running along the bottom of the spreadsheet to see the different selections of clinical experience. In the ‘Group’ CEATs the views include:
    Case Assessment
    Urgent Treatment
    Surgery
    Periodontal Disease
    Endo Only
    Restorations
    Fixed Prstheses
    Removeable Restorations
    Activity and Absence
    Prescribing KPIs
    Endo (Including Rubber Dam)

CEAT4

  • Clicking on a tab of the Group CEAT will show a table giving the figures for each of several listed procedures for each of the FDs of the Scheme. In an area to the left of the figures is a grey highlighted section which gives mean values for that procedure for the Scheme together with the standard deviation and a suggested ‘outlier’ figure. Outliers will be highlighted in ink in some of the views. In other views the figures are highlighted in colours graded from green through yellow to red, representing the range of values in those procedures.
Below the figures will be a graphical display of each FD’s data with a key to the right of the chart.

CEAT5

  • The CEAT for individuals has different tabs at the bottom of the page. Each tab will take you to the data for an individual FD; these are listed numerically from FD1 (to FD30 on the ‘Up to 30’ version of the CEAT for individuals).

CEAT6

  • Clicking on a tab of the CEAT for individuals will give a page containing a series of tables listing the data for one named individual FD arranged by procedure together with the data of the Scheme averages for the procedures.. Each category of procedures has a graphical chart with a key. Scrolling down the page of the spreadsheet will show each of the categories in turn.

CEAT7

  • All of the ‘pages’ of the CEATs have been set up to be printed, either to an attached printer, or more effectively to a .pdf file, which can then be saved and then sent to indivual FDs or ESs. To gain quick access to the print set up use the keyboard shortcuts: Ctrl + P (PC) or Cmd + P (Mac).
